PayPolka
Estimate and Invoice Software

Quote the work once. Keep the billing connected.

Send a clear estimate, let the client accept it online, and create invoices from the agreed price. PayPolka keeps the quote and its invoices together so you can see how much of the job you've billed.

The price you agreed shouldn't need another spreadsheet.

A client says yes to the estimate. Now you need a deposit invoice, a progress bill, and a way to remember what's left at the end. Copying the same numbers into separate documents leaves you checking the math every time.

With PayPolka, each invoice you create from an accepted estimate stays linked to it. Bill the full amount or enter a portion in dollars or as a percentage. You review the draft before it goes to the client.

When the work starts, use a project to track hours and expenses too. You'll have a record of what the job took, alongside the price you agreed. Explore billing in stages and project tracking.

How PayPolka helps

Give the client a clear quote to approve

Build the estimate with labor and item lines, notes, and attachments. Share a link the client can open and accept in their browser.

Reuse the agreed details

A full invoice copies the estimate lines. A partial invoice identifies the estimate and amount being billed. Both start as drafts you can review.

Follow the amount left to invoice

See linked invoices and the remaining pre-tax amount on the estimate. Drafts count toward that amount, so check their status before creating another bill.

Take the next step toward payment

Send the invoice with your payment instructions and, when Stripe is connected, an online payment link. Check paid and outstanding amounts from your account.

An accepted estimate signed by the client, with the Amount to invoice box and the invoice already created from it

An accepted estimate, the amount still to invoice, and the invoice it produced.

FAQ

Questions, answered.

Do I need an estimate before making an invoice?

No. You can create an invoice directly for a client, with or without a project. Estimates are useful when you want agreement on scope and price first.

Does accepting an estimate send an invoice?

No. Acceptance records the client's response. You choose what to invoice, create the draft, review it, and send it yourself.

How do clients pay?

Connect your own Stripe account to offer card, ACH, or Cash App Pay. You choose the methods in account settings, and they apply to all invoices. You can also record cash and check payments. Stripe's processing fees apply, with no markup from PayPolka.

What does PayPolka cost?

$9 per person per month. Every feature is included, and read-only accountant access is free. New accounts get 30 days free with no card needed. Add a card before the trial ends to keep going; if you never do, nothing is charged.
