PayPolka
Time Tracking and Invoicing Software

The hours are already logged. Put them on the invoice.

PayPolka connects your team's timesheets to client billing. Record the work once, then add unbilled hours and project expenses to an invoice when you're ready to send it.

Try every feature free for 30 days. No card needed.

Stop rebuilding the month from a spreadsheet.

Billing day gets harder when hours live in one tool, rates in another, and expenses in your inbox. You have to pull everything together before you can even start writing the invoice.

In PayPolka, each time entry belongs to a project and labor category, with its billing rate saved alongside it. When you create an invoice for that project, the Unbilled work panel lets you select dates and bring the work into the draft.

For example, four hours of design at $100/hour and two hours of development at $150/hour give you $700 of labor to invoice before tax or discounts. You can show those as separate categories or use a summary line. The underlying time stays linked to the saved invoice.

That link matters the following month: work already on an invoice won't be offered again as unbilled. If you remove its invoice row or delete the draft, the work becomes available to invoice again. Read the invoicing walkthrough.

How PayPolka helps

Log the week in the format you prefer

Type 1.5, 1:30, 90m, or 1h 30m for an hour and a half. The weekly grid saves your entries, and the day view holds notes and individual entries.

Reuse a familiar week

Copy last week's time into empty cells when the projects and hours repeat. Review and adjust the entries to match the work you actually did.

Choose what the client sees

Group invoice lines by labor category or person, use a single summary, or list each entry. Add notes when the client needs an explanation of the work.

Find the work that still needs billing

The Uninvoiced report groups unbilled hourly work and expenses by project. Open a new invoice with the project and date range already selected.

FAQ

Questions, answered.

Does PayPolka have a running timer?

No. Enter time manually in a weekly grid or day view. You can record the hours during the day or fill in the week from your own records.

Do hours have to be approved before invoicing?

No. Weekly approval locks entries for review but doesn't block invoicing. Submitted, approved, or invoiced entries have editing restrictions to protect the records.

Can I log time on a fixed-fee project?

Yes. The time helps you track budgets and labor costs. You invoice the agreed fee in portions rather than charging the tracked hours as hourly work.

What does PayPolka cost?

$9 per person per month. Every feature is included, and read-only accountant access is free. New accounts get 30 days free with no card needed. Add a card before the trial ends to keep going; if you never do, nothing is charged.
