PayPolka
Recurring Invoicing Software

Have the next retainer invoice ready to review.

Set up recurring invoices for retainers, maintenance agreements, and other repeat work. PayPolka prepares a draft on schedule, so you can check it and send it without rebuilding last month's bill.

Repeat work shouldn't mean rewriting the same invoice.

The first of the month arrives and the maintenance invoice needs the same description, price, and terms as last time. Copying an old invoice is easy enough until you miss a date or leave in a charge that doesn't belong.

Create a recurring template for the client with the regular line items and your monthly, quarterly, or yearly schedule. PayPolka creates the draft on its scheduled run, then moves the next invoice date forward.

Open the draft to add an extra charge, adjust a description, or simply confirm the details before sending. The client pays the invoice using your normal payment options. See how to create a recurring invoice.

How PayPolka helps

Save the details that repeat

Set the client, subject, line items, rates, payment terms, and notes once. Each new draft starts with those details.

Choose the billing interval

Create monthly, quarterly, or yearly drafts. Set the next invoice date to match your agreement with the client.

Keep a review before the email goes out

Nothing is sent automatically. Check the draft and change it if the work or agreement is different this period.

Pause when the work pauses

Deactivate the recurring template to stop future drafts while keeping its setup. Restart it when the regular work resumes.

The Invoices page with Invoices, Recurring, and Freeform tabs, status chips, and a list of sent, paid, overdue, and draft invoices

Recurring templates live on their own tab beside the invoices they create.

FAQ

Questions, answered.

Does it charge a card automatically?

No. PayPolka prepares draft invoices. You send them, and clients pay through the invoice. It isn't automatic subscription charging.

Does the draft include tracked project hours?

No. A recurring draft copies its template lines and has no project attached. Use project invoicing when you want a bill based on actual tracked hours and expenses.

Can I sell a prepaid block of hours?

You can invoice a block as a recurring line item and track the work separately. PayPolka doesn't maintain an automatic prepaid-hours balance or deduct hours from a retainer.

What does PayPolka cost?

$9 per person per month. Every feature is included, and read-only accountant access is free. New accounts get 30 days free with no card needed. Add a card before the trial ends to keep going; if you never do, nothing is charged.
