A full calendar doesn't tell you what you earned.
A client can keep your team busy and still be a poor fit at the price you agreed. To understand why, you need the hours, the costs, and the billed work together.
PayPolka includes five reports: Time summary, Billable split, Budget vs actual, Uninvoiced, and Profitability. Use the time reports to understand the work, the Uninvoiced report to prepare billing, and Profitability to review billed work against recorded costs.
For an illustrative project with $4,000 billed, 30 hours at a $60 labor cost rate, and $200 in expenses, the report would show a $2,000 margin. That figure depends on complete records and cost rates; it doesn't include overhead you haven't recorded or mean the client has paid.
Reports include CSV downloads so you can share the figures with your accountant or work with them elsewhere. Read how each report calculates its numbers.
How PayPolka helps
Find completed work that needs an invoice
Uninvoiced shows billable hourly time and expenses by project. Owners and admins can start an invoice from a report row, with its dates carried across.
See how the team's time is spent
Time summary groups hours by client, project, labor category, or person. Billable split shows the balance of billable and non-billable work.
Spot a budget that needs attention
Budget vs actual shows project budget, usage, remaining amount, and average weekly usage. It uses overall project progress rather than just entries in the date filter.
Review fees against the cost of delivery
Profitability compares billed work with logged hours at each person's cost rate and recorded expenses. Review fixed-fee projects as well as hourly work.
The dashboard shows the money; the reports show the work behind it.
Questions, answered.
What do I need for useful profitability figures?
Record the team's hours and expenses, set a cost rate for every person, and send the relevant invoices. Missing cost rates understate labor costs. Draft invoices don't count as billed work.
Is profitability based on cash collected?
No. It uses billed work on sent or paid invoices, not payment receipts. Use Accounting to review collected payments and outstanding balances.
Who can see financial reports?
Owners, admins, and accountants can see Uninvoiced and Profitability. Members see their own time, and managers see time reports for their assigned people without financial amounts.
