A project should tell you more than its name.

When a client asks how the job is going, you need to know what your team has worked on, what it's cost so far, and how much you've billed. Hunting through separate records makes a straightforward question harder than it needs to be.

PayPolka gives each project a place for time, expenses, invoices, and team messages. Choose hourly, fixed-fee, or non-billable work, and set the rates and budget that fit the agreement.

Suppose you allow 40 hours for a project and choose an alert at 75%. You'll get an email when logged work crosses that threshold, giving you a reason to review what's left while the job is still underway. See how to set up a project and review its reports.

How PayPolka helps

Find the work and the bill together

Open a project to see its time, expenses, and invoices. Follow an entry back to its day view or start an invoice with the project selected.

Choose how each project is billed

Use hourly billing with labor category rates or a project-wide rate. Set a fixed fee for quoted work, or use non-billable projects to keep internal time visible.

Watch the budget as hours accumulate

Set a budget in hours or dollars, then choose the percentage that should trigger an email. The project shows usage as entries change.

Keep the team's questions with the project

Post a message for the team and collect comments on the project's message board. Use project notes for scope and details people need to refer back to.

FAQ

Questions, answered.

Is this task management or scheduling software?

No. PayPolka organizes the time, expenses, budget, and billing for client projects. It doesn't include task boards, dispatch, or resource scheduling.

Can clients see their project hours?

You can turn on sharing of approved hours and expenses for a project in the client portal. It's off by default. Clients access the portal through the link you share.

What happens when a project is finished?
