Priced out of Harvest? Check the work you need to replace

By the PayPolka team · Published September 6, 2026 · Updated September 7, 2026

If your Harvest renewal has you looking elsewhere, start with the total cost for your actual usage and the tasks your team depends on. A cheaper subscription only helps if you can still record the work, bill it, and keep the history you need.

Check the price against your usage

As reviewed September 7, 2026, Harvest’s pricing page lists starting seat prices and says additional invoices, projects, clients, and tasks can be billed based on usage. It also offers a pricing calculator. Use your own account details to work out the comparison rather than treating a starting seat price as the complete bill. Harvest pricing.

PayPolka charges $9 per person per month and meters nothing: clients, projects, estimates, and invoices are unlimited, and accountants and client contacts never take a seat.

Try a normal week before deciding

Choose a sample project and walk through the work your team does most often:

  1. Record time for the different types of work you bill.
  2. Add a project expense and its receipt.
  3. Review the week if your team uses approvals.
  4. Prepare an invoice from the unbilled work.
  5. Check the project budget and the figures you need to report.

PayPolka covers those steps with a weekly grid, project expenses, optional approvals, and an invoice form that pulls in unbilled hours and expenses. Its reports include time summaries, budgets, unbilled work, and project profitability.

Check the differences that matter to your team

Harvest offers timers, desktop and mobile apps, and integrations. PayPolka uses manual time entry in the browser. If an automatic timer or an integration is central to your day, include that in the decision. Harvest time tracking.

PayPolka currently supports US businesses and US-dollar billing. It doesn’t provide scheduling, payroll, a general ledger, or automatic card charging. Recurring invoices prepare drafts for review and sending.

Bring over a sample of your history

PayPolka can import Harvest CSVs for time, expenses, clients, projects, and tasks. You can start with a detailed time report; the other files add details where you need them.

Upload a small date range under Settings, Time, then review the preview and match people to your existing team. Confirm the import and compare sample totals before bringing over more records. Rows marked invoiced in Harvest stay locked and out of unbilled work. The importer doesn’t recreate historical invoices or payments.

The Harvest import guide explains the supported files, matching, and limits. Keep copies of your exports and billing history.

Decide with a real project in front of you

PayPolka is worth considering if you’re a small consulting team or agency that wants time, project costs, and invoicing together at a clear monthly price.

The first 30 days are free with no card needed, so you can start with one client project and check the process against the way you work before anything is charged.
